GAME TRANSLATE
Privacy Policy
What we collect, why we collect it, who sees it and how to ask us to delete it.
Last updated: October 14, 2026
Who we are
Game Translate (gametranslate.us) is run by one person, as an individual – not a company. In this policy, “we”, “us” and “our” mean that person, who decides what personal data the site collects and how it is used (the “controller” in data-protection law).
This policy covers the whole site: the translation patches, comments and bug reports, donations, the “new translation” e-mails and the Merch Store (gametranslate.us/shop).
Questions or requests: gametranslate.us@gmail.com. We answer within 30 days.
What we collect
When you comment or report a bug
- The name, e-mail and (optional) website you type, your comment, the time, your IP address and browser user agent (used for spam checks). Your e-mail is never shown publicly.
- Screenshots you attach. They become public with your comment once it is approved; uploads that are never attached to a comment are deleted within about 24 hours.
- If you have a Gravatar, a hashed version of your e-mail is sent to Gravatar to show your picture.
When you donate
- Donations are handled by PayPal. We receive what PayPal shares with us – usually your name, e-mail, the amount and the transaction ID. We never see your card or bank details. Donators may get an account to download patches without ads, and a supporter price in the Merch Store – we check your donator status when you are signed in.
When you buy from the Merch Store
- Order details: name, e-mail, phone number, billing and shipping address, the mugs you order (including any name, gamer tag or picture you add), order notes, totals, coupons used and the order history.
- Payment: paid through PayPal (PayPal account or card). We receive the payment status and transaction ID – never your full card or bank details.
- Device data: your IP address and browser user agent are saved with the order to prevent fraud.
- Your country: we estimate your country from your IP address (or use the one you choose) to show the right prices, currency, taxes, colours and shipping. The choice is remembered in a cookie.
Custom mugs, names and AI designs
- Pictures you upload, text you type (names, descriptions for the AI) and the designs made from them.
- Files of designs that are not ordered are deleted after 7 days. Files of ordered mugs are kept with the order so we can reprint a damaged or misprinted mug.
- Only upload photos of people if you have their permission (for children, the parent’s).
- If you tick “share my design”, the design (never your photo) may be offered as a mug in the shop, credited with your first name and the first letter of your last name – see the Terms of Service.
Your customer account
- When an order is paid, we make a free customer account with your order e-mail (if you don’t have one yet) and e-mail you a link to choose a password. The account holds your orders, addresses, level (the number of mugs you bought), reward codes and your friend link. You can ignore it or ask us to delete it.
Reviews
- Your name, rating, review text and any photos or videos you add. Reviews are public once approved; your e-mail is never shown.
Unfinished checkouts
- If you type your e-mail at the checkout but don’t finish the order, we save that e-mail, your first name and the cart so we can send up to two reminders (a note under the e-mail field says so). Saved carts are deleted after 30 days, and nothing is sent once you order or click “no more reminders”.
The e-mail list
- If you join our list (for example through the “10% off your first mug” popup), we keep your e-mail, the date, your country and the language of the shop, and send you new designs, drops and deals – about two e-mails a month, including Black Friday news. Every e-mail has a one-click unsubscribe link.
Friend links
- Your friend link contains a short code tied to your account. When someone orders with it, we record who invited them so we can send the reward. The person who shared the link gets an e-mail with your first name when your mug ships.

| Our hosting provider | Everything stored on the site | Running the website |
Pinterest and Google Merchant Center receive product information only (pictures, prices, descriptions) – no customer data. We may disclose data if the law requires it, or to protect the site and its users from fraud or abuse.
International transfers
We run the site from Vietnam, and the services above process data in the United States, the EU, the UK and other countries. Where EU/UK data leaves those regions, we rely on the services’ own safeguards (such as the EU Standard Contractual Clauses or the EU–US Data Privacy Framework).
How long we keep it
| Data | Kept for |
|---|---|
| Orders, invoices and donation records | As long as tax and accounting law requires (usually up to 7 years) |
| Customer account | Until you ask us to delete it (orders stay as above) |
| Design files of mugs that were not ordered | 7 days |
| Print files of ordered mugs | With the order, for reprints and replacements |
| Unfinished-checkout carts | 30 days |

| Comments, screenshots and reviews | Until removed by you or us (deleted comments are purged after 30 days) |
| Unattached screenshot uploads | About 24 hours |
| Server logs | A few weeks |
E-mails we send

- Account e-mail – one e-mail with the link to choose your password.
- Unfinished checkout – at most two reminders; each has a “no more reminders” link.
- “Did your mug arrive?” – one review request per order, a few days after delivery.
- Rewards – level-up codes, friend rewards and photo-review rewards when you earn them.
- Bug reports – a short status e-mail when your report is fixed.
- New translations – only if you subscribe; one-click unsubscribe.
- Merch Store news and deals (new designs, Black Friday) – only if you join the list; one-click unsubscribe.
To stop any of these, use the link in the e-mail or reply “stop” (or write to gametranslate.us@gmail.com).
Your rights
Wherever you live, you can ask us to:
- show you the data we have about you, or send you a copy (export);
- correct it;
- delete it, including your customer account (order records we must keep for tax are kept but no longer used for anything else);
- stop using it for reminders, review requests or other follow-ups, or withdraw your consent;
- restrict or object to how we use it.
Write to gametranslate.us@gmail.com from the e-mail you used with us. We reply within 30 days. If you are in the EU or UK and unhappy with our answer, you can complain to your data-protection authority. We don’t sell or “share” personal information as defined by US state privacy laws such as the CCPA.
Children
The site is not meant for children under 13, and we don’t knowingly collect their data. Orders must be placed by an adult or with a parent’s permission. If you think a child has given us personal data, write to us and we’ll delete it.
Security
The site uses HTTPS everywhere, admin access is restricted, and print files and uploads use links that can’t be guessed. No website is perfectly secure, so please use a unique password for your account.
Embedded content
Some pages show content from other sites (for example YouTube videos). It behaves as if you visited that site, which may collect data about you under its own privacy policy.
Changes to this policy
When we change this policy, we update the date at the top. If a change is important, we’ll say so on the site.
